What is AI-assisted shortlisting?
AI-assisted shortlisting is the step where a professional buyer asks a conversational assistant, such as ChatGPT, to narrow a market of vendors down to a shortlist before any commercial contact. It plays out on what is publicly readable: specifications in text, the stated scope of claims, direct answers to purchase questions and content in French. A vendor absent from this step is never invited to bid.
A silent step in the buying journey
A buyer's shortlist used to come from referrals, directories or search. It now comes in part from a written answer that names three or four companies. Gartner reports that 45% of B2B buyers say they used artificial intelligence during a recent purchase (a survey of 646 buyers conducted from August to September 2025).
This step leaves no trace on your side. A buyer who dropped you after a visit at least left a session in your analytics. A buyer who never sees you named leaves no click, no inquiry and no signal. The loss becomes hard to budget for and easy to ignore.
The five conditions for making the shortlist
- Specifications exist as readable text: dimensions, capacities, standards, lead times. Information locked in a PDF, an image or behind a form plays no part in the shortlisting.
- Every claim carries its own scope: what it measures, over what territory and over what period.
- Purchase questions get a direct answer: price, lead time, the product's limits.
- The content exists in French: an answer phrased in French draws first on sources written in French.
- Claims are anchored: structured data consistent with the visible text, and named sources for borrowed figures.
These five points can be checked on any website in under an hour, with no paid tool.
What can be measured and what cannot
What can be measured: your company's presence in answers to a list of purchase questions you define. Share of voice (the proportion of citations that name you rather than a competitor) can be measured too, as can presence in Google's generated summaries.
What cannot be measured today: attributing a sale to a citation inside an assistant. No one in the industry can do that reliably. This work should therefore be budgeted as a citability investment, with a quarterly review, and not as an acquisition campaign.
A scenario with fictional figures: a market counts twelve comparable vendors, and the buyer keeps three names. The baseline probability of being retained is 25%. Absent from the shortlist, a vendor sees that probability drop to zero, regardless of its price and the quality of its product.
Suppose this market produces 200 projects a year and the average sale generates $5,600 in margin. A 25% probability then represents $280,000 in potential annual margin. The calculation decides nothing until it is redone with a company's real number of projects and real margin.
We read AI-assisted shortlisting as a buying step, not as an advertising channel. The work starts with the twenty questions your buyers ask before choosing a vendor, written in their own words. Those questions, the decision to make a lead time or a price range public, and the technical data only you own stay with you.
We take on the rest: converting spec sheets into pages, structuring specifications, translating attributes and running the quarterly presence review. We promise no measured return on this channel, because the measurement that would allow it does not exist yet.
Not to be confused with
- Request for proposals
- The request for proposals comes after the shortlist: the buyer compares bids from the vendors retained. A vendor absent from the shortlist loses nothing visible there, since it is never invited.
- B2B buying group
- The B2B buying group is the set of people who decide on a purchase. AI-assisted shortlisting is one step in their process: the one where one of them has the market narrowed to a shortlist.
- Share of voice
- Share of voice is a measurement: the proportion of citations that name you rather than a competitor. It tracks your presence in the shortlisting; it does not replace it.

Frequently asked questions
How do I know if AI tools already name my company?
Ask your customers' purchase questions yourself to two or three assistants, such as ChatGPT, Gemini or Claude, and note which vendors get named. It is manual and imperfect, but it gives an honest starting point in half a day. A tooled tracking system becomes useful once you know which questions matter for your market.
Do we need to remove our PDF spec sheets?
No. The PDF keeps its usefulness for printing, project files and archiving. What changes is that it stops being the only place where the information exists. The web page becomes the source and the PDF becomes an output generated from it, which also solves the problem of outdated sheets circulating.
